Mobile Profiles

The Mobile Profiles page within TimeStar™ allows you to define mobile profile groups that can be assigned to staff. These profiles will define what staff members will be able to do via the mobile app. Some staff may be allowed to put in time off requests only, whereas another profile might allow requests and punching. If using geofencing, this is also where the allowed locations to punch will be assigned to each profile.

Navigating to the Mobile Profile Page

1. In the Main Navigation menu, open the Security Setup folder.
2. Click on the Mobile Profiles page.

Creating A Mobile Profile

1. Click the button at the bottom of the window.

2. Give a Name and Description that describes the permissions and possibly where punching is allowed.

3. In the Add Feature dropdown, select the feature you wish to allow and click the on the right. This will drop the feature below to the Feature table and you can repeat the process to add any other features for this profile.

  • Accruals – Will allow the employee to see their Accrual Bucket(s) Balance
  • Employee Time Review – Allows the employee to approve their Timesheet if employees are required to do so at the end of a pay period.
  • Supervisor Time Review – Allows a Supervisor to approve the Timesheet for the employees that report to them at the end of a pay period.
  • Punch – Will allow the employee to punch via the mobile app pending any IP or Geofencing restrictions.
  • Offline Punch – Allows the employee to punch even if their phone is not connected to the internet. When the device reconnects to the internet, the punch data will flow into Time & Attendance.  Geofencing restrictions will remain, and the punch will be denied if outside the allowed parameters. Offline punching will not be permitted if IP restrictions are in place.
  • Requests – Will allow the employee to place time-off requests via the app. This also allows a Supervisor to approve or deny requests sent to them from staff members.

4. Click .

Below, a mobile profile is being created for employees who will be allowed to place time-off requests, see their accrual balances, and punch from the Main Office and from their Home address. These restricted locations will be added later and is only done when Geofencing is being used. Supervisors will also have the ability to approve their staffs timesheets.

Once saved, it will appear in the Select Mobile Profile dropdown field along with any other profiles created. Here we can see an example of one profile that will allow employees to place time-off requests and punch from their mobile device, and another profile that will only allow time-off requests. In the example above, we are allowing punching to take place, but we also want to restrict the employees ability to punch to the main office and their home address. To accomplish this, we need to establish Allowed Address Types and/or Allowed Locations.

Establishing Allowed Address Types

1. Select the profile you wish to modify in the Select Mobile Profile field.

2. Click on the Allowed Address Types tab.

3. In the Add Address dropdown field, Select the Address Type you wish to allow. The address types available were established during your initial setup, or at a later time by a Delphia technician. We can add or remove these as necessary for you. The physical address for these Address Types are attached and defined to an employee on their Contact Info page.

4. Once selected, Click the which will place it in the table below. Repeat for any other Address Types to allow.

5. Establish the Allowed Radius in feet.

6. Click .

7. To remove an Address Type, Click on the on the far right of the address line, then Click .

Hovering over the icon will pull up a reference for distances.

In this instance, the system will pull the latitude and longitude point for the employee’s listed home address and restrict punching to within 150 feet of that point.

To allow punching from a location that many employees may clock from, such as a Main Office or Warehouse, we need to establish Allowed Locations.

Establishing Allowed Locations

1. Select the profile you wish to modify in the Select Mobile Profile field.

2. Click on the Allowed Locations tab.

3. In the Add Location dropdown field, Select the Location you wish to allow. The locations available are established and maintained by your System Administrators on the Geofencing Locations page. The physical address for these locations will be stored there. For more information on that, please visit our Geofencing Locations page.

4. Once selected, Click the which will place it in the table below. Repeat for any other Locations to allow.

5. Establish the Allowed Radius in feet.

6. Click .

7. To remove a Location, Click on the on the far right of the address line, then Click .

In this instance, the system will pull the latitude and longitude point for the Main Office address listed on the Geofencing Locations page and will restrict punching to within 300 feet of that point.

Hovering over the icon will pull up a reference for distances.
