Request workflows can be set up in TimeStar to determine whom a request would go to. Request can be sent to an individual, multiple individuals simultaneously, or to a succession of individuals.
- Requests sent to a single individual can be approved or denied.
- Requests sent to multiple individuals at once can be denied or approved by one individual or require multiple approvals. A denial can either trigger the request process to stop, or TimeStar can look at the last approval/denial and respect that as the final word.
- Requests can be sent to an individual who can deny or recommend approval. That recommendation would then go to the next individual for their approval or denial.
Navigating to Request Workflow
1. In the Main Navigation menu, open the Company Setup >> Requests Setup folder
2. Click on Request Workflow page

Existing default workflows may not be edited but may be copied by selecting the copy button on the lower left corner of the dashboard.
Add a New Request Workflow
To add new workflows select the add button in the lower left of the dashboard. This option will bring up a blank workflow where the user may select different workflow items.
1. Name the workflow and provide a brief description if needed.
2. Make sure the workflow has the Active? field set to Yes.
3. A workflow item specifies to whom the request will sent to once an employee has submitted. Workflow items include:
- Any user: The employee will have the ability to select any user in TimeStar to forward their request to
- Supervisor: The employee will be able to specify the number of supervisors to send the request to. They may also skip a supervisor level
- Organization level: The employee will be able to specify individuals within the organization level that is set in this workflow item
- Single user: The employee will forward the request to the user specified in this workflow item
For each of these workflow items the following settings will need to be established:
4. ORDER: Is the order the workflow items are sent. For example if the order is 1 Supervisor then 2 org level the request will first go to the Supervisor of the employee and then go to members of the org level specified.
5. SEND: Applies to how many users may receive the request. For example if 2 is set for a supervisor item the employee can specify up to 2 supervisors to forward his/her request to before submitting.
6. MIN APPROVED: Is the number of people that should take action on the request. If this is set to 0 whoever is the last to either approve/decline will be the final say in the status of the request. If the is set to 1 one user must approve the request otherwise the status is set to decline. If this is set to 2 then 2 users must take action before the workflow can be completed.
7. DENIAL: Is either yes or no. If the Denial option is checked it is set to Yes meaning once a submitted request has been declined the workflow is ended and the request status is Declined.
8. ACTIVE: Is either yes or no. If the active option box is unchecked then this particular workflow item is not active in the workflow.
9. OTHER: Contains related to information needed for individual workflow items.
- Any User: There is nothing in the Other column.
- Supervisor: Level Difference must be specified which is the difference between the employee and supervisor. For example, set level different to 1 if the employees request should go to their direct supervisor.
- Organization Level: Choose the org level Depth and then the specific org level the employee will be able to forward the request to.
- Single User: Specify the user in TimeStar the employee will forward his/her request to.
10. Once completed, click the Save button in the lower left of the window.
