Schedule Reports

Reports may be scheduled for automated processing, as a single scheduled task, or on a recurring schedule.

Creating Saved Reports

Before establishing a schedule, a report template must be saved. To create a report template, follow the steps listed on the Saved Reports: Create Saved Report page.

Scheduling Saved Reports

Once you have a saved report template, you will be able to schedule this report for automated processing. To do so, follow these steps:

  1. Navigate to Reports > Schedule Reports.
    • If this is your first scheduled report, the scheduled report template will appear by default.

If other scheduled reports exist, you will see an ADD SCHEDULE  button at the bottom of the page. Click the ADD SCHEDULE button to see a new scheduled report template.  If no scheduled reports exist, you will only see a SAVE SCHEDULE button.  You will click SAVE SCHEDULE after the steps below are completed.

1. Enter the schedule ‘Name’ and ‘Description’.

2. Select the Report template to generate.

3. Update the Report Filter field as desired:

    • None – Each recipient of the report will receive the full report.
    • Employee – Allows an administrator to schedule a report to be sent to multiple employees, but each will receive only his/her own data.
Please Note: If the report being sent was created by an Administrator, all of the data that appears on the report for the Administrator will appear for the Supervisor the report is sent to. If sending to employees, you can set step 3 above to Filter by Employee and they will only see their own data. For assistance with setting up reports to go to Supervisors with data limited to their direct reports, please reach out to our Technical Support Team for assistance.

4. Remove When Finished:

    • Set to ‘Yes’ to no longer list the report as scheduled in the system after it has been generated once.
    • Set to ‘No’ to leave the report schedule active.

5. Define the Schedule Reoccurrence options:

    • Recurring Schedule:
      • Set to ‘No’ to generate the report only once.
      • Set to ‘Yes’ to generate the report a number of times.
    • Start Date: Enter the date to begin generating the report.
    • Stop Date: If applicable, enter the date to stop generating the report. If no stop date is entered, the report will run as scheduled indefinitely.
    • Time of Day: Define the time of day to generate the report.
    • Pattern: Set the recurring pattern (daily, weekly, monthly, etc.).
      • Based on your Pattern selection, define the recurrence in more detail.

6. Select the Employee Email Address(es) and/or User Email Address(es) to determine to whom the report will be sent at the scheduled time.

      • Employee Email Address are located on the employee’s Contact Info page
      • User Email Address are located on the employee’s User Security page

7. Click the SAVE SCHEDULE button.
