User Update

The User Update page is used when new hires are imported in to Time & Attendance.  This page allows you to set a new employees Username, initial login Password, and Group Memberships to assigned security permissions.  Many of the fields on this page are also fields of each Group Membership.  If these fields are left blank here, TimeStar will respect the settings assigned as part of the Group Memberships.

Navigating to User Update

  1. In the Main Navigation menu, open the Global Update folder
  2. Click on User Update page

Updating New User

The below steps will cover most instances.  A description of fields not mentioned in these steps will follow.

  1. Delphia can set these fields to have a default value so that each time you enter the User Update page, most items are prepopulated with your needs.
  1. Active? – Make sure this field is set to Yes
  2. Force Password Change at First Login? – Set to Yes. This will force the employee to come up with their own unique password when they log in with the default password set above.
  3. Company Memberships – If you have multiple companies built within a single URL, select the company that this employee would belong to.
  4. Group Memberships – This field sets the employees security permissions within TimeStar. This field has nothing to do with hierarchy, but rather defines what actions an employee can perform within the system.

Group memberships can be created and customized to give or restrict actions.  There are often three basic levels of Group Memberships.  Those include Employee, Supervisor(Manager), and System Administrator levels.

The base permissions for these groups are as follows:

  • Employee – Employee permissions allow the employee to only see themselves within the system. Unless specified, they will only be able to view their hours, punches, dollars, etc. and no modifications can be made.  Employee permissions can be broken out to accommodate the employee’s time tracking needs.
    • Employee (Punching) – Employee will be entering their time using a clock, whether that be virtual or physical.  This group is sometimes split into two groups that will allow one group access to only hardware clocks and the other group to only web or virtual clock.
    • Employee (Non-Punching) – Employee will not be tracking their time by clocking. Think Salary Exempt employees.
    • Employee (Timesheet) – Employee will be entering their time directly to a Timesheet within TimeStar whether that be punch times In and Out or blocks of hours. This group may still have access to the clocks if allowed.  This group is also the exception to the view only permissions mentioned above.  Depending on how time will be entered, employees will need to be given access to edit those hours, punches or both.
  • Supervisor(Manager) – Supervisor permissions allow the employee to see their own data when logging in along with any employees directly assigned to them. Supervisors are normally allowed to only view their own time, just like the employee permissions.  When looking at a supervisee, they are allowed to add, edit, or delete any punches, hours or other data we may tracking.  This Group Management will also allow for approving of their employees time at the end of the pay period.
  • System Administrator – System Administrator permissions give full access to the system. When logged in, all employees will be visible and add, edit, and delete permissions are available for all employees, including one’s own data.  This group also gives access to the payroll processing area, holiday and pay period setups, along with pages used to assign pay groups, security groups, and all other areas one may need access to.
